Our clients are very concerned with privacy and security issues realted to their proprietary data.  We began using OSC in 2016 along with two other document conversion companies.  In 2018 we starting giving all of our digitization work to OSC. They provide us with searchable PDF’s with excellent quality images. They always make tough jobs seem easy. Their staff is accessible and if they find a problem, are quick to contact us with suggestions on how to proceed.

Our charity was spending thousands of dollars each month storing old paper files that are rarely if ever accessed. Our summer intern suggested digitizing the paper so we could eliminate the cost of storage. She also informed us that the images could be searched so we could find information when we need it. I asked her to source a company and create a budget to see the financial benefit associated with such conversion. I was shocked when I saw how much we can save. Furthermore, now staff can easily use the files as a resource. I offered her a job when she graduates from college. I hope she accepts.

When we formed our partnership, the lawyers were more concerned about generating caseload than developing a library of cases. Over the years we kept moving current files in our offices to remote storage locations. When the partners saw how much we were spending on transportation and storage charges, including the weekly charges from the storage facility to retrieve cases in storage, they all agreed it was time for document conversion. We now send them all our work monthly, eliminating all our paper storage costs.

Our business is tax return preparation. Sometimes, often years later, a taxing authority asks us to produce work papers for our client’s tax return. This is a cumbersome request to fulfill. Storage space in our office is expensive so we store client’s work offsite. It is not convenient to go offsite and nobody from our office wants to go. Recently we gave all our client’s documentation to Optimum Solutions for digitization. We were so pleased with their quality, price and delivery. Now, when we receive a request from an administrative agency for our client’s work, we can locate it quickly and respond timely. I wish we found Optimum Solutions years ago.

Our elections are always complicated.  A member can vote for individual delegates and officers or vote for a slate.  Some of our elections would take days to tally because of the number of members who voted for individuals rather than for a slate.  With your system, we start and finish the election, for both delegates and offices, in a few hours.  Wonderful work.

For years our condominium complex used balloting systems that were online.  A number of residents complained because they didn’t trust the process and like many elections, challenged the authority of those who won.   This is the third year using your services.  Now, everyone trusts the process because they can see their ballots scanned.  Our members may not like the people elected to run our condo but now they believe they were elected legitimately.

This is our fifth election cycle working with the AAA and OSC election teams. Since our election is national, ballots are sent to members all over the country.  These ballots are returned in large envelopes we provide with an identifier on the outside.  The ballot is in a small envelope within the large envelope.  All envelopes remain sealed until the day of the election when the outside envelope is scanned for member validation, and the inside envelope is opened and the ballot scanned.  We do this to ensure the integrity of our elections.  While the election ballot is anonymous, we can first ensure that incoming ballots are coming from union members and we eliminate the possibility that illegal ballots are presented as real ballots.  AAA & OSC are a pleasure to work with and their professionalism is appreciated by our members.

For years our 25,000 members used paper ballots for the election of officers.  It took days to tally the votes and union observers complained about the time it took to report results.  Three years ago we moved from paper to online voting, and that presented us with a new set of problems.  How do we actually know who is voting.  We generally get 45% of our members to vote in a paper election.  In the two years that we've used online voting, participation increased to 68%. Our Board questioned the huge increase in voters but the steps the AAA and OSC take to ensure security, and the audit trails that we can review, give us the comfort that only our members are voting.
